Uganda & Rwanda Safari Terms & Conditions

These Uganda & Rwanda safari Terms & Conditions govern the booking and provision of safari, travel and related services arranged by Njagi Safaris. By confirming a booking, the client acknowledges that they have read, understood and agreed to these Terms & Conditions together with the relevant quotation, itinerary, invoice, booking confirmation and other documents issued specifically for their journey.

These Terms & Conditions should also be read together with our Refund & Cancellation Policy and Privacy Policy, which govern separate aspects of your booking and use of our website and services.

Safari Booking Conditions

A booking is considered confirmed once Njagi Safaris has received the required deposit or other agreed payment and has issued written confirmation of the booking. Until written confirmation has been issued, accommodation, permits, transport, activities and other travel services remain subject to availability.

The person making the booking is responsible for ensuring that all information provided to Njagi Safaris is accurate and for communicating relevant booking information to all travellers included in the reservation.

Any special requirements, preferences or requests should be communicated during the booking process. While Njagi Safaris will make reasonable efforts to accommodate such requests, they cannot be guaranteed unless specifically confirmed in writing.

Deposits and Payments

A deposit may be required to secure accommodation, permits, transport, activities and other services included in a safari. The required deposit amount, payment schedule and applicable deadlines will be communicated in the relevant quotation, invoice or booking confirmation.

Certain services, including gorilla trekking permits, chimpanzee permits, accommodation and other supplier services, may require advance or full payment in order to secure availability. Clients are responsible for making payments according to the agreed schedule.

Failure to make a required payment by the agreed date may affect the availability or confirmation of services included in the itinerary. Specific provisions relating to cancellation, refunds, postponed travel and other financial consequences are addressed separately in our Refund & Cancellation Policy.

Client Obligations

Clients are responsible for ensuring that they meet all applicable passport, visa, health and entry requirements for their journey. Travellers are responsible for informing Njagi Safaris of any relevant circumstances that may reasonably affect their participation in planned activities or the practical delivery of travel arrangements.

Clients must provide accurate personal information required for permits, accommodation, transport and other travel arrangements. They are also expected to comply with applicable laws, national park regulations, accommodation rules, safety instructions and reasonable directions provided by guides, drivers, park authorities and other service providers.

Njagi Safaris reserves the right to refuse participation in an activity or service where a traveller’s behaviour presents a reasonable risk to their own safety, other travellers, wildlife, staff or property.

Uganda & Rwanda safari Terms & Conditions: Changes to Itineraries

Safari itineraries are planned in advance but may occasionally need to change due to weather conditions, road conditions, wildlife movements, park regulations, accommodation availability, flight schedules, safety considerations or other circumstances beyond reasonable control.

Njagi Safaris may make reasonable changes to an itinerary where necessary to support the practical operation, safety or overall quality of the journey. Where reasonably possible, clients will be informed of significant changes before or during travel. Where a change is necessary, Njagi Safaris will make reasonable efforts to provide an appropriate alternative, taking into account the nature of the original arrangement, availability and the circumstances at the time.

Safari Supplier Responsibilities

Njagi Safaris may arrange services provided by independent suppliers, including accommodation providers, airlines, transport operators, activity providers, national park authorities and other third-party service providers.

These suppliers operate independently and may have their own terms, conditions, operating requirements and safety procedures. Njagi Safaris will make reasonable efforts to select and coordinate appropriate suppliers for the services included in a confirmed itinerary but does not directly control the day-to-day operations of independent third-party providers.

Clients may also be required to comply with the conditions, rules and operational requirements of individual suppliers. Certain safari services, including national park, wildlife permits and other regulated activities, are administered by relevant authorities and service providers. Travellers may consult official information from the Uganda Wildlife Authority and Visit Rwanda for general information about protected areas and tourism experiences.

Njagi Safaris Company Liability

Njagi Safaris will exercise reasonable care and skill in arranging and coordinating the travel services included in a confirmed itinerary. However, safari travel may involve activities and conditions that include wildlife encounters, travel on public roads, changing weather, remote locations and other circumstances involving inherent risks.

To the extent permitted by applicable law, Njagi Safaris shall not be liable for loss, damage, injury, delay, expense or other consequences arising from circumstances beyond its reasonable control or from the acts or omissions of independent suppliers.
Nothing in these Rwanda Terms & Conditions is intended to exclude or limit liability where such exclusion or limitation is not permitted under applicable law.

Safari Force Majeure

Njagi Safaris shall not be responsible for failure, delay, modification or disruption to travel arrangements resulting from events beyond its reasonable control.

Such events may include, but are not limited to, natural disasters, severe weather, disease outbreaks, epidemics or pandemics, government restrictions, border closures, civil unrest, armed conflict, terrorism, strikes, transport disruption, changes in park or permit regulations and other extraordinary circumstances.

Where a journey is affected by a force majeure event, Njagi Safaris will make reasonable efforts to communicate available options and assist with practical arrangements where possible. Any financial consequences arising from cancellation, postponement, rescheduling or disruption will be addressed in accordance with the applicable Refund & Cancellation Policy, relevant supplier conditions and the circumstances affecting the booking.

Acceptance of These Terms

These Terms & Conditions shall be governed by and interpreted in accordance with the applicable laws of Uganda. Any dispute arising in connection with a booking or the services arranged by Njagi Safaris should first be addressed through reasonable efforts to resolve the matter directly between the parties. Where a dispute cannot be resolved amicably, it may be referred to the appropriate legal or other competent authority in accordance with applicable law.

By confirming a booking with Njagi Safaris, the client confirms acceptance of these Terms & Conditions and agrees to comply with the requirements applicable to the services and activities included in their journey.

Clients are encouraged to review these Terms & Conditions, the Refund & Cancellation Policy, Privacy Policy and all relevant booking documents before confirming travel arrangements or making payment.
